Technology Donation Programme for Charities

In a fast paced, technology driven society with an increased demand on finances it can be difficult for non-profits to gain access to technologies that will allow them to improve the efficiency of the service they provide. Now more than ever it is so important for us as non-profits to share our knowledge and experiences in order to support each other and our service users.

Last year Kerry Volunteer Centre availed of Enclude.ie services to obtain donated Microsoft Office and Internet Security software. This was a simple process that not only saved us money but also allowed us to benefit from the latest versions of the software that have since improved the efficiency of our services available to volunteers and non-profit organisations in Co. Kerry.

About Enclude
Enclude is an independent non-profit IT consultancy service to the Irish Non-profit Sector. It delivers services to a wide range of voluntary, community and development organisations. Its aim is to provide appropriate and cost-effective IT consultancy, services and solutions to charities in Ireland in order to help them achieve their mission and have a greater impact.

Donor Partners
Enclude offers technologies from the following Donor Partners:

Adobe –provides creative software products that can be used to edit images, design websites, publish newsletters, create video and audio productions amongst others
Bitdefender -provides antivirus and security software
Bytes of Learning -provides keyboarding instruction product
Cisco -provides an assortment of wired and wireless networking hardware
Mailshell – provides desktop spam filtering software
Microsoft – provide a wide variety of professional and enterprise software
SAP – provides a range of business intelligence software
Symantec – provides products that enhance security on multiple networked computers and their desktop products enhance security on a single computer

Eligibility Criteria
In order to participate in Enclude Technology Donation Programme, Irish non-profit organisations are required to meet both the general eligibility criteria outlined below and those required by individual Donor Partners.

Eligible organisations will:
• Have Charitable Tax Exemption status [CHY number], as granted by the Office of the Revenue Commissioners.

Need to submit:
• A copy of the Letter of Charitable Tax Exemption issued by the Charities section of the Office of the Revenue Commissioners (Revenue will reissue this letter on request, please note that your Tax Clearance letter will not be accepted).
• A copy of the page(s) of the Articles of Association of the charity that state your “Object” (not the full document).
• A letter of authorisation from an officer or trustee of the applicant organisation that includes confirmation of the organisations registered / official email address.

Cost
Enclude is not in receipt of funding and charities are required to pay a small administrative fee to cover the cost of running the programme and ensuring its continuation. After payment of the fee, charities will still make savings of between 92-96% on typical retail prices of technologies. For example the prices per unit of the following as of March 2015 are:
• Adobe Photoshop 12 is €19
• Microsoft Access 2013 is €11
• Microsoft Office 2013 is €27 (RRP €539)
• Windows 8.1 Operating System €11 (RRP €119)
• Norton Internet Security is €5 (RRP €60)

Registering Your Organisation
Before you are able to place an order, you will need to register your organisation and Enclude will need to confirm your organisation meets the required Eligibility Criteria.

The registration process is as follows:
1. Complete the online registration form
2. Send Enclude a copy of your organisation’s
• tax exemption letter confirming your Charity number,
• page(s) of your Memorandum and Articles of Association stating your “Object”,
• a letter of authorisation on headed paper from an officer or trustee (it should include confirmation of the organisations registered email address).
3. Once Enclude have received your documentation, they will confirm your organisation’s eligibility status within five working days of receipt.
4. If your organisation does meet the required eligibility criteria for at least one of our Donor Partners, confirmation will be emailed to your organisation’s registered email address and will contain the following information:
• Your organisation’s log in details.
• Which Donor Partners you are eligible to request products from, in the online shop.
5. If your organisation does not meet the required Eligibility Criteria for at least one of our Donor Partners, notification will be emailed to your organisation’s registered email address.
